A registration fee must be submitted to Experient for each room requested in the block with the group registration and housing form. Requests for rooms not accompanied by a corresponding registration fee will not be processed. If any of your atendees are members of ASM, a refund of the difference between member and nonmember will be issued after May 4, 2017. Complete group registration information must be submitted to Experient by May 3, 2017. This must include individual names, addresses, and education level. Failure to submit a name for each registration will result in forfeiture of the registration fee. Experient will accept registration changes and corrections until May 3, 2017. Please note there will be a $100 name change fee after May 3, 2017.
For groups outside official housing block:
If you have obtained housing outside the official block (Sub-block); you must complete the appropriate sections of the Group Registration and Housing Form and return with payment ($20 USD/room per night), to Experient. Registration will not be processed without the form and payment.
ASM membership numbers must be included in section two for registrants to be eligible for member rates. Membership numbers are verified by Experient. ASM reserves the right to charge the higher nonmember rate without notification if a member number is not included or cannot be verified. Registration Name Changes
Changes to existing registrations will be accepted at Experient until May 3, 2017 at no charge. Changes made after May 3, 2017, or on site will be subject to a $100 USD processing fee per change. This fee is due (in USD) at the time that the changes are made. Changes to existing registrations will not be permitted after the group appointment on site. Name changes after the group appointment will be considered a new registration and the appropriate registration fee must be paid.
Registration Cancellation Policy
Cancellations must be in writing and e-mailed, faxed, or mailed to Experient by March 16, 2017.
March 16, 2017: Deadline to cancel with refund minus $50 processing fee.
After March 16, 2017: No refunds will be processed.
Group Coordinators who elect to register their group on site must visit the Group Registration Desk in the New Orleans Convention Center during regular attendee registration hours. Experient will set a time for Group Coordinators to return and pick up registration materials. Complete attendee contact and demographic information along with the completed Group Request Form and subsidy payment will be required.
IMPORTANT: Groups registering on site at ASM Microbe 2017 will be required to pay the $20 per room/per night subsidy at time of registration for any hotel room booked at a non-official hotel.
Group Badge Policies
Badges must be picked up during the appointment with ASM Microbe Group Registration and Housing. For security reasons, all attendees are required to wear their badge for entry into session rooms. Please note: Badges are the property of ASM and will be relinquished at any time at the discretion of an ASM staff person or security.

Group Registration and Housing
April 19: Global Registration/Housing names due. Payment is non-refundable.
May 3: Domestic Registration/Housing names due. Cancellations received after this date will be assessed a penalty of $500 per room.
May 17: Deadline for room changes and additional reservations based on availability. 5 p.m. EST Housing is closed.
May 22: Contact hotels directly for changes/cancellations/new reservations.
All registrants will receive materials as part of the registration fee. These documents will be distributed on site.
As an added service to groups, Group Coordinators can schedule to pick up all registration materials (including name badges); this service will begin Wednesday, May 31, 2017, and is by advance appointment only. Scheduling your pickup gives Group Coordinators a chance to register additional attendees, make name changes and badge corrections, and avoid long lines during regular registration hours. The ASM Microbe Group Coordinator will contact you to schedule an appointment. Failure to appear at your appointed time will mean waiting in line during regular on-site registration hours.
IMPORTANT: If you plan to arrive by taxi for on-site pick-up you MUST notify ASM Microbe Group Registration and Housing in advance so special arrangements can be made to accommodate taxi access to the pickup area.
Group Coordinators who provide complete contact and demographic information for their group may pick up Certificates of Attendance during their appointment at the Group Registration Counters. Otherwise, each attendee must visit registration and complete an information form to receive the Certificates of Attendance.
Affiliated groups (i.e., tour operators, travel agents, etc.) or exhibitors desiring space for meetings, meals, social events, etc. must submit an Affiliated Event Form in order to obtain approval and assignment of function space. This form lists all procedures and guidelines for holding affiliated events. Space is assigned on a first-come, first-served basis.
