Convener and Moderator Guidelines
Prior to the session please remember to:
- Introduce yourself.
- Introduce each speaker, noting each presentation title. To view the most up to date information, please access the mobile app or Online Program Planner.
- Remind the audience that all recording devices, cameras (including camera phones), and video cameras (including video phones) are prohibited in the session room.
During the session please:
- Notify the room monitor immediately of AV equipment problems.
- Encourage the audience to take center seats, particularly when room is at capacity.
- Assure no disturbances (encouraging the audience to silent their phones).
- Note presenters that did not show or whose presentation were promotional.
- Should the session get ahead of schedule, please do one or more of the following:
- Have questions prepared to ask the speaker.
- Solicit questions from the audience.
- Take a stretch break.

Please note that the following information does not apply to Poster, Oral Abstract, Poster Talks and Rapid Fire abstract presenters.
Housing Registration, and Travel Subsidy
ASM will provide a travel subsidy to help cover expenses for your participation. Participants from North America (United States and Canada) will receive a $1000 travel subsidy while participants from outside of North America will receive up to $2000 in reimbursement with itemized receipts. Once your speaking invitation has been accepted, ASM will email you specific information on how to obtain your travel subsidy.
As a Convener and/or an Invited Speaker of a scientific session, you will be provided with a dedicated registration and housing link. If you do not register immediately, please remember to use this link. Do not use the registration for regular attendees.
All conveners and speakers must self-register for the meeting and make their own housing and travel arrangements.
Convener-Only participants will receive complimentary registration for the meeting.

If you are a non-member, your base fee for meeting registration is complimentary and will be reflected at check-out. You will be charged for additional purchases for the meeting.
If you are an ASM member, be sure to renew your membership and take advantage of the benefits your membership has to offer. Your registration fee will be based upon your membership type/level.
Please be advised that it is ASM's policy that, while presenters are allowed to communicate with the press, their discussion may not be published until after the day and time of the actual presentation. Similarly, details of an invited presentation may not be part of an industry-sponsored symposium or other scientific event, unless scheduled after the day and time of the official meeting presentation. Policy is in effect until June 5, 2017.
ASM Event Release, License & Disclosures Form
As part of the education mission of the American Society for Microbiology (ASM), arrangements have been made for recording and producing Internet-based versions of speakers' presentations delivered at the ASM Microbe 2017. Speaker presentations will be made available for sale online to meeting attendees and ASM members and non-members. Invited speakers/conveners in recorded sessions will be requested to complete an ASM Event Release, Liscence, & Discolosures Form.
Presentation and AV Guidelines
For all scientific sessions, a submission will be available for invited faculty to submit their presentation in advance of the meeting. The presentation will be tested by Freeman AV, the audio-visual provider, to make certain there are no compatibility issues. You will be able to upload revised versions as often as needed; however, we still recommend you visit the Speaker Ready Room PRIOR to your session to review and confirm your final presentation. You will still be required to bring a copy of your presentation to the meeting in the event that a back-up copy is needed.

On your slides, please be sure to add a statement if they include unpublished data.

For interactive sessions, those interactive polls will need to be created via Poll Everywhere before uploading PowerPoint slides in the abovementioned presentation management system. ASM Staff will email all interactive sessions' speakers and conveners access information for specific ASM Poll Everywhere accounts that must be used for each interactive session.
CME/CE Disclosure of Relevant Financial Relationships
ASM is accredited by The France Foundation (TFF) to offer continuing education credits at ASM Microbe 2017 for sessions in the following scientific tracks: Antimicrobial Agents and Infectious Diseases (AAID), Clinical and Public Health Microbiology (CPHM), and Professions of Microbiology (POM), as well as some general sessions, plenary, and courses/workshops. As a result, the Accreditation Council for Continuing Medical Education (ACCME) requires TFF to identify relevant financial relationships and resolve applicable conflicts of interest for all individuals responsible for the planning, development, mangement, presentation, review, and/or evaluations of a CME/CE activity.
Evidence-Based, Non-Commercial Presentations
ASM require that all presentations be evidence-based and by themselves or in conjunction with other presentations, give a balanced view of therapeutic options. Commercial, company, or product logos or watermarks are not permitted on slides and when unlabeled or investigational uses of drug or device are discussed, they must be labeled or identified as such in your presentation. The use of generic names contributes to impartiality. If trade names are used in your presentation, you must also use the trade names of other companies' products as well.
