**A guest is a spouse, friend, or adult child (18 years old and older) who is not working in a microbiology-related occupation or field. A colleague or associate working in a microbiology-related field or studying microbiology in school may not be registered or attend as a guest. Registered guests may not attend the scientific sessions; however, they may visit the Exhibit & Poster Hall and attend the General Sessions.

Badge Allocations

Exhibitors will be allowed to enter the Exhibit Hall at 8:00 a.m. on all 3 show days (Friday – Sunday). Exhibitors can remain in the hall one hour after the Exhibit Hall closes each day for straightening of the booth.  After hour demonstrations are not allowed. Anything outside of these hours requires permission from ASM Exhibits Management. Exhibitor Full Conference badges allow access to all scientific sessions.

●    One (1) Exhibitor Attendee Badge per exhibiting company, with access to scientific sessions and workshops.
●    Two (2) Exhibitor Booth Personnel badges per 10x10 space, no access to sessions.
●    Two (2) complimentary Exhibit Hall Only Guest badges for each 10' x10' space, which allows exhibitors to provide non-registered customer entry into Exhibit Hall ONLY on designated day. 

Important Deadlines

●    May 16, 2019: Rooming lists due with full prepayment of all reserved rooms. Cancellations received after this date will not be granted a refund. Registrant names must also be assigned to rooms. Experient will accept registration changes and corrections up through the show. Please note that there will be a $100 name change fee after May 23.
●    May 16, 2019: Deadline for room changes based on availability. 
●    May 16, 2019: Housing is closed at 5:00 p.m. ET. 
●    May 23, 2019: Contact hotels directly for changes/cancellations/new reservations. 
●    June 23, 2019: Deadline to enter Exhibitor Badge names online. Online site closes.

For changes to an existing reservation or to cancel your reservation, please contact your confirmed hotel directly starting on June 10, 2019.

Behind-the-Scenes at California Academy of Sciences

The California Academy of Sciences is an aquarium, planetarium, rainforest and natural history museum in San Francisco’s Golden Gate Park. In addition to experiencing the public exhibits, participants will be given a guided behind-the-scenes tour and get a glimpse of important avian pathogens, insect vectors of disease and the MicroLife Lab, and other aspects of particular interest to microbial scientists.

Getting to San Francisco

San Francisco is easily accessible from three area airports. San Francisco International Airport (SFO), Oakland International Airport (OAK), and Norman Y. Mineta San Jose International Airport (SJC).

Shuttle From Airport
SuperShuttle San Franciso offers shuttle service from San Francisco International Airport to Hotels for $17.00 one way.

Shuttle from the hotels to the Moscone Center
ASM offers complimentary shuttle service between the Moscone Center and the official hotels that are not within walking distance to the convention center. Shuttle service will begin on Thursday, June 20, and continue through Monday, June 24. 

International Travel
ASM Microbe welcomes scientists from every part of the world. Attendees are not required to present a poster to attend the conference. Please allow ample time for visa processing, as the application process can take several months in some countries.

Member Rates

Your member/non-member standing for ASM Microbe 2019 registration is based on your 2019 ASM membership status. If you have not renewed or joined for 2019, please visit www.asm.org/join prior to registering.

Student & Postdoc Rates

Non-member registrants requesting student or postdoc fees must provide either a legible photocopy of a current University ID or a letter on University letterhead from the department chair, indicating your status and anticipated graduation date. Only undergraduate through postdoctoral students are eligible for the student rate. Documentation must be sent by Thursday, June 6, 2019.

Government Attendees

The Office of Government Ethics issued a proposed rule on September 13, 2011 concerning government employees’ accepting invitations from registered lobbyists and lobbying organizations for free attendance at “widely attended gatherings” such as conferences, seminars and other large meetings. The proposed rule contains certain exceptions to the limitations on accepting such invitations. Among the exceptions is for invitations from 501(c)(3) nonprofit organizations.

The American Society for Microbiology is a 501(c)(3) nonprofit organization; therefore, unless any agency-specific limitations apply, invitations from AM offered to government employees for attendance at ASM events may be permissible under this proposed rule. If you are a government employee and would like further information, we suggest you consult the appropriate office of ethics within your agency.
 

Meeting and Payment Policies

Registration Confirmation/Receipt

Attendees will receive a confirmation and receipt of their registration after it is fully processed. If for some reason the email bounces back, attendees will then receive their confirmation via fax. If a fax number is unavailable, the attendees will then have their confirmation maile

*Checks/Money Orders must be made payable to ASM (American Society for Microbiology). When paying with a check or money order, attendees must first complete the online registration indicating that they are paying with a check/money order. Once complete, attendees must print the online registration invoice, attach payment and mail by Thursday, June 6, 2019. Checks received without registration documents will be returned for correct processing. 

If sending payment via wire, a $30 transfer fee must be added to the final amount of your registration cost. Wire transfers will not be accepted after Thursday, June 6, 2019.

Substitution Policy

Substitution of registrations is permitted prior to the conference and onsite. Only one substitution is permitted per original registrant. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution as well as updating any contact information.

Beginning Friday, May 31, 2019: NO REFUNDS WILL BE PROCESSED.

Americans with Disabilities Act (ADA) Needs

Pursuant to the Americans with Disabilities Act, if you require services or aids to participate fully in ASM Microbe 2019, during the registration process, please select the type(s) of service and indicate any specific needs. 

ASM is happy to assist you with your mobility needs. If you require a scooter on-site at ASM Microbe 2019, please indicate this during the registration process.  Scooters will be available for pick-up at the Moscone Center. 

Contact Information Release 

The generous support provided by exhibitors is significant to the success of ASM Microbe 2019. The exhibiting company's goal in participating in ASM Microbe is to interact with the attendee and to provide the most current information on their products and services. Attendees mailing addresses will be made available to the exhibitors who wish to mail information. This list will only contain name, full address, and affiliation (if provided). No phone numbers, fax numbers or email addresses will be included.
