Working with the Public Policy and Advocacy and Education Director, the Assistant is responsible for providing programmatic and support to the Education and the Public Policy and Advocacy Department. This position supports the goals of the department and the mission of ASM.

Administrative support for Education and Public Policy and Advocacy Departments
  • Maintain departmental calendars, compiling and circulating meeting agendas, scheduling meetings with internal and external stakeholders and assembling necessary meeting materials.
  • Assemble and provide materials needed in advance of travel (travel plans, itineraries, and meeting materials)
  • Provide logistical support for meetings and events including coordination of requirements forms, set- up of facilities, arranging for catering and other duties (some meetings may be off-site).
  • Attend meetings and record notes and minutes as required. Support follow up and tracking of action items.
  • Assist marketing team in showcasing departmental activities at ASM meetings such as Microbe, Biothreats, ASM Branch meetings, etc.
  • Gather participant data for marketing and program staff; prepare monthly and/or quarterly graphs and reports
  • Create and maintain budget worksheets for departmentmeetings (as needed) and for other departmental projects and activities
  • Collect and process travel expenses for departmental staff and volunteers; reconcile discrepancies with accounts; serve as lead person for ASM ATC service providers and INTAACT program.
  • Maintain volunteer appointments and reappointments.Serve as lead staff for maintaining NetForum records and working with ASM governance staff.
  • Develop and maintain accurate files and records as required to support the office functions; maintain files in progress and assure proper completion.
  • Process documents specific to the office assigned according to established procedures, including invoices and travel forms.
  • Perform related duties as assigned
Support Public Policy and Advocacy Department programs
  • Maintain records of grassroots and policymaker engagement
  • Assist with policy outreach activities such as Capitol Hill Day and briefings with Congressional members and staff.
  • Initiate and ensure development and preparation of materials for speaking engagements and presentations
  • Assist with the tracking of ASM coalition activities.
  • Prepare work planning and timelines for projects
  • Provide updates/status reports
Support Education Department programs
  • Serve as lead customer representative for ASM Education.Respond to and assist in tracking inquiries (e.g., education@asmusa.org inbox, social media).
  • Assist with on line learning programs; maintain participant records and assist in marketing campaigns and follow through.
  • Assist with on line communities and monitoring activities
  • Prepare work planning and timelines for projects
  • Provide updates/status reports

Required Education and Experience
  1. Bachelor’s degree
  2. 4-5 years of professional experience
