ASM Microbe 2018 will take place at the Georgia World Congress Center. The meeting registration fee includes all conference materials, access to all scientific sessions, social events, and the Exhibit and Poster Hall.

Registration Types and Rates


Your member/non member standing for ASM Microbe 2018 registration is based on your 2018 ASM membership status. If you have not renewed or joined for 2018, please visit www.asm.org/advance prior to registering.

Student & Postdocs 

Non-member registrants requesting student or postdoc fees must provide either a legible photocopy of a current University ID or a letter on University letterhead from the department chair, indicating your status and anticipated graduation date. Only undergraduate through postdoctoral students are eligible for the student rate. Documentation must be sent by Friday, May 11, 2018.

Government Attendees

The Office of Government Ethics issued a proposed rule on September 13, 2011 concerning government employees’ accepting invitations from registered lobbyists and lobbying organizations for free attendance at “widely attended gatherings” such as conferences, seminars and other large meetings. The proposed rule contains certain exceptions to the limitations on accepting such invitations. Among the exceptions is for invitations from 501(c)(3) nonprofit organizations.

The American Society for Microbiology is a 501(c)(3) nonprofit organization; therefore, unless any agency specific limitations apply, invitations from the Society offered to government employees for attendance at Society events may be permissible under this proposed rule. If you are a government employee and would like further information, we suggest you consult the appropriate office of ethics within your agency.


Guests may not attend scientific sessions but will have access to exhibits, posters, and the opening address. Guest badges must be purchased with an existing registration. 

Group Registration

Each member of a group must be registered to attend the meeting. A website has been created to help process those registrations. Access the website to register your guests for the meeting.

*Checks/Money Orders must be made payable to ASM (American Society for Microbiology). When paying with a check or money order, attendees must first complete the online registration indicating that they are paying with a check/money order. Once complete, attendees must print the online registration invoice, attach payment and mail by Friday, May 11, 2018. Checks received without registration documents will be returned for correct processing. 

If sending payment via wire, a $30 transfer fee must be added to the final amount of your registration cost. Wire transfers will not be accepted after Friday, May 11, 2018

Registration Confirmation/Receipt

Attendees will receive a confirmation and receipt of their registration after it is fully processed. If for some reason the email bounces back, attendees will then receive their confirmation via fax. If a fax number is unavailable, the attendees will then have their confirmation mailed. 

On-Site Registration and Badge Pick-Up

All registered attendees must stop by Express registration, Full-service registration, Group registration or Exhibitor registration to receive a meeting badge and other registration materials. No materials will be mailed prior to the conference. Registration will be open during the following times:

Registration Policies

Badge Policy

All attendees are required to wear badges on site at all times. Badges give access to the Exhibit and Poster Hall, scientific sessions, and social events. 

Substitution Policy

Substitution of registrations is permitted prior to the conference and onsite. Only one substitution is permitted per original registrant. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution as well as updating any contact information.

Cancellation Policy

All cancellations must be in writing and emailed to microbe@experient-inc.com or postmarked by Thursday, April 26, 2018 to:

  • On or prior to Thursday, April 5, 2018: You will receive a full refund minus a $25 processing fee. 
  • Beginning Friday, April 6 – Thursday, April 26, 2018: You will receive a refund of 50% of the registration fee. 
  • Beginning Friday, April 27, 2018: NO REFUNDS WILL BE PROCESSED. 
  • Guest fees are non-refundable.

Pursuant to the Americans with Disabilities Act, if you require services or aids to participate fully in ASM Microbe 2018, during the registration process, please select the type(s) of service and indicate any specific needs. 

ASM is happy to assist you with your mobility needs. If you require a scooter on-site at ASM Microbe 2018, please contact ScootAround directly at 888-441-7575 to make arrangements to rent a scooter and pick it up at the Georgia World Congress Center. 

Contact Information Release 

The generous support provided by exhibitors is significant to the success of ASM Microbe 2018. The exhibiting company's goal in participating in ASM Microbe is to interact with the attendee and to provide the most current information on their products and services. Attendees mailing address will now be made available to the exhibitors who wish to send information. This list will only contain name, full address, and affiliation (if provided). No phone numbers, fax numbers or email addresses will be included.

  • One (1) Exhibitor Attendee Badge per exhibiting company, with access to scientific sessions and workshops
  • Two (2) Exhibitor Booth Personnel badges per 10x10, no access to sessions
  • Two (2) complimentary Exhibit Hall only Guest badges for each 10' x10' unit, which allows exhibitors to provide non-registered customer entry into Exhibit Hall ONLY on designated day. 

Additional badges for purchase include:

  • Exhibitor Booth Personnel

Access to scientific sessions is permitted with an Exhibitor Full Conference badge.Exhibitors who have an Exhibit Booth Personnel Badge are not permitted into the sessions. Exhibitor Attendee and Exhibitor Booth Personnel Badges allow exhibitors and staff to access the exhibit hall floor during move in/move out hours. Exhibitors will also be allowed access to the exhibit hall two hours prior to the hall opening as well as one hour after the hall closes, unless otherwise communicated to show management. Exhibitor Attendee and Exhibitor Booth Personnel Badges also allow access to loading docks during move-in/move-out.

Exhibitors may pre-register for badges via exhibitor registration online. Badges will be available for pickup during on-site registration hours. 

Important Deadlines

  • January 4, 2018: Registration opens for all Exhibitors
  • May 10, 2018: Rooming lists due. Cancellations received after this date will be assessed a $500 cancellation penalty per room. 
  • May 10, 2018: Registrant names must be assigned to rooms by May 10. Experient will accept registration changes and corrections up through the show. Please note there will be a $100 name change fee after May 18.
  • May 10, 2018: Deadline for room changes based on availability. 
  • May 10, 2018: Housing is closed at 5:00 p.m. ET. 
  • May 23, 2018: Contact hotels directly for changes/cancellations/new reservations. 
  • June 7–11, 2018: ASM Microbe 2018
  • June 11, 2018: Deadline to enter Exhibitor Badge names online. Online site closes.

How to Register

Additional Information

Accredited reporters may register for a press pass to access to the ASM Microbe press room, and the online press room. Registrants will be required to show press credentials at the time of press badge pickup.

All ASM Microbe abstracts will be embargoed until Monday, May 7, 2018. Late breaker abstracts will be embargoed until Friday, June 7, 2018. Some abstracts will be embargoed to coincide with the times they are presented at the meeting. Embargo times and dates will be clearly marked on all press releases.

Additionally, press releases and other promotional activity by third parties must coincide with the date and time of the presentation.

When asking for outside comment on press releases or news stories before the embargo has lifted, journalists are requested to ensure that the embargo is respected. ASM reserves the right to ban any journalist from the meeting who breaks the embargo or breaches the media policy in any other way.
