The 33rd Clinical Virology Symposium registration fee includes all conference materials, refreshment breaks, and access to all sessions and the Exhibit and Poster Hall. Participants can choose to register for both the Symposium and the Molecular Virology Workshop or the Symposium Only or Workshop Only registration options.

Americans with Disabilities Act (ADA) related service requirement

Pursuant to the Americans with Disabilities Act, if you require services or aids to participate fully in the Clinical Virology Symposium, during the registration process, please select the type(s) of service and indicate any specific needs. An ASM representative will be in contact with you to schedule services. Please note a detailed itinerary is required to facilitate the scheduling of services. Requests for services should be submitted at least 6 weeks prior to the meeting in order for ASM to arrange for services and/or aids.

Dietary restrictions

During the registration process, attendees may indicate if they require a kosher or halal meal. Special meal requests must be submitted at least 7 business days prior to the meeting. Note: All buffets will have food labels indicating dairy-free, vegan, vegetarian and gluten free, accordingly. If you have any concerns, please email ASM at

Cancellation Policy 

All cancellations must be in writing and must be emailed or postmarked by Thursday, March 30, 2017.

  • On or prior to Thursday, March 9, 2017: You will receive a full refund minus $25 processing fee. 
  • Beginning Friday, March 10, 2017: 50% of registration fee is refunded. 
  • After Thursday, March 30, 2017: NO REFUNDS WILL BE PROCESSED

No refunds will be granted for requests submitted after Thursday, March 30, 2017. 

Substitution Policy

Substitution of registration is permitted prior to the workshop/symposium, and onsite. Only one substitution is permitted per original registrant, The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution as well as updating any contact information. Registration name badges are not transferable between participants on site.

To be eligible for member rates, membership numbers that are current for 2017 must be included when registering. Membership numbers are verified by the registration company.

Students & Postdocs
Non-member registrants requesting student or postdoc fees must provide either a legible photocopy of a current university ID or a letter on University letterhead from the department chair, indication your status and anticipated graduation date. Only undergraduate through postdoctoral students are eligible for the student rate. Documentation should be received by Thursday, April 13, 2017 and can be sent to:

Guests may not attend scientific sessions but will have access to exhibits, poster, and the receptions during the meeting. Guest fees do apply. 

Badge Policies

Badges will only be issued to the attendee of record upon presentation of government-issued photo identification, such as driver's license or passport. Meeting attendees are required to wear conference badges on-site at all times. Badges give you access to sessions, posters, social events and official symposium meals. It is your responsibility to ensure that you have your badge at all times.

*Checks/Money Orders must be made payable to ASM (American Society for Microbiology). When paying with a check or money order, attendees must first complete the online registration indication that they are paying with a check/money order. Once complete, attendees must print the online registration invoice, attach payment and mail by April 13, 2017. Checks received without registration documents will be returned for correct processing. 

Wire transfers are not accepted. 

Registration Confirmation/Receipt 

Within five business days after receipt of payment, attendees will receive an official CVS confirmation via email. This will also serve as your receipt. Consider printing the email receipt/message for your file. You are not considered a CVS registrant until full payment is processed and you have received the official CVS confirmation via email. 

Please be aware that automatically generated emails and/or email confirmations sent in bulk may be identified as unsolicited mail by email providers and placed into bulk or junk mail folders. If you do not receive the automatically generated email or the official CVS confirmation within five business days after submitting payment, check for a blocked message or the message in a bulk or junk mail folders.

Registration Materials

All registered attendees wil receive registraion materials on site. No materials will be mailed prior to the conference. 

General Information

Cameras and Recording

Digital recorders, cameras (including camera phones), and video cameras (including video phones) are prohibited in the Poster Hall and session rooms. 

Certificate of Attendance

Certificate of Attendance will be available starting on Wednesday, May 10. 

Child Policy

Children are not permitted entry into session rooms. Also, children under the age of 18 are not permitted on the Exhibit Hall floor during the setup or dismantling hours. During scheduled show hours, children are permitted on the Exhibit Hall floor when parents or guardians are present and must remain with the parent or guardian at all times. Parents or guardians must complete and sign a Minor Release Form to allow children access to the Exhibit and Poster Halls. This form will be available at the On-Site Registration counter.
