Invited Faculty Guidelines

Please note that the following information does not apply to Poster, Oral Abstract, Poster Talk, and Rapid Fire abstract presenters.

Transparency in Scientific Presentations

Scientific presentations at ASM Microbe 2018 will be expected to transparently report a study’s scientific rigor, including, but not limited to the following: 1) experimental design; 2) methodology; 3) data collection; 4) analysis; and 5) interpretation and report of results. Other key components of scientific rigor included, if applicable, are sample size, randomization, blinding, and replication.

Housing, Registration, and Travel Subsidy

As a moderator and/or invited speaker of a scientific session, you will be provided with a dedicated registration and housing link. If you do not register immediately, please remember to use this link. Do not use the registration for regular attendees.

All moderators and speakers must self-register for the meeting and make their own housing and travel arrangements.

Moderator-only participants will receive a significantly reduced speaker registration fee of $285.00. As a moderator-only, you will be responsible for your own housing and travel arrangements. To receive this reduced registration, please utilize the link sent to you by ASM Meetings’ staff.

Experts and Moderators Speaking in a Session and Invited Speakers
ASM will provide moderators and speakers with a significantly reduced speaker registration fee of $285.00 in addition to a travel subsidy to help cover expenses for your participation. To receive this reduced registration, please utilize the link sent to you by ASM Meetings’ staff.

ASM will provide a travel subsidy or travel reimbursement to help cover expenses for your participation. Participants from the United States will receive a $1000 travel subsidy while participants from outside the United States, but in North America will receive a reimbursement. Countries outside of North America will receive up to $2000 reimbursement. Once your speaking invitation has been accepted, ASM will email you specific information on how to obtain your travel subsidy.

Embargo Policy

All ASM Microbe abstracts will be embargoed until Monday, May 7, 2018. Late breaker abstracts will be embargoed until Thursday, June 7, 2018. Some abstracts will be embargoed to coincide with the times they are presented at the meeting. Embargo times and dates will be clearly marked on all press releases.

Additionally, press releases and other promotional activity by third parties must coincide with the date and time of the presentation.

When asking for outside comment on press releases or news stories before the embargo has lifted, journalists are requested to ensure that the embargo is respected. ASM reserves the right to ban any journalist from the meeting who breaks the embargo or breaches the media policy in any other way.

If your research has already been published, please contact the ASM communications office at communications@asmusa.org to discuss how to handle promoting your abstract.

Presentation and AV Guidelines

For all scientific sessions, a submission site will be available for invited faculty to submit their presentation in advance of the meeting. The presentation will be tested by PSAV, the audio-visual provider, to make certain there are no compatibility issues. You will be able to upload revised versions as often as needed; however, we still recommend you visit the Speaker Ready Room PRIOR to your session to review and confirm your final presentation. You will still be required to bring a copy of your presentation to the meeting in the event that a back-up copy is needed.

For interactive sessions, those interactive polls will need to be created via PSAV before uploading PowerPoint slides in the abovementioned presentation management system. ASM staff will email all interactive session speakers and moderators access information for specific accounts that must be used for each interactive session.

Sessions that offer CE Credits

For Invited Speakers/Conveners speaking in sessions that offer CE Credits.

CME/CE Disclosure of Relevant Financial Relationships
ASM is accredited by The France Foundation (TFF) to offer continuing education credits at ASM Microbe 2018. As a result, the Accreditation Council for Continuing Medical Education (ACCME) requires TFF to identify relevant financial relationships and resolve applicable conflicts of interest for all individuals responsible for the planning, development, management, presentation, review, and/or evaluation of a CME/CE activity. In order to fulfill this requirement, you will be asked to complete your financial disclosure.

Evidence-based, Non-commercial Presentations
ASM requires that all presentations be evidence-based and by themselves or in conjunction with other presentations, gives a balanced view of therapeutic options. Commercial, company, or product logos or watermarks are not permitted on slides and when unlabeled or investigational uses of a drug or device are discussed, they must be labeled or identified as such in your presentation. The use of generic names contributes to impartiality. If trade names are used in your presentation, you must also use the trade names of other companies' products as well.

Moderator Guidelines

Prior to the Session

Please remember to:

  • Introduce yourself.
  • Introduce each speaker, noting each presentation title. To view the most up to date information, please access the mobile app or Online Program Planner. 
  • Remind the audience that all recording devices, cameras (including camera phones), and video cameras (including video phones) are prohibited in the session room.

During the session

Please remember to:

  • Notify the room monitor immediately of AV equipment problems.
  • Encourage audience to take center seats, particularly when room is at capacity.
  • Assure no disturbances (encouraging the audience to silent their phones).
  • Note presenters that did not show or whose presentations were promotional.

Should the session get ahead of schedule, please do one or more of the following: 

  • Have questions prepared to ask the speaker
  • Solicit questions from the audience
  • Take a stretch break
